What UK rail refund changes mean for business travellers and bookers – and how HTS is supporting you

UK rail refund rules changed on 1 April 2026, tightening how and when tickets can be refunded.

There has, however, already been an important development.

As a member of the Business Travel Association (BTA), HTS is part of the collective industry response that has secured an extended grace period until 7 September 2026. This gives more time to adapt processes, systems and ways of working – and ensures continued support during the transition.

The key change

For most flexible rail tickets (including Anytime and Off-Peak):

  • Tickets must be refunded before the day of travel
  • The cut-off is 23:59 the day before departure
  • After that, refunds are no longer available in most cases

In simple terms, flexibility still exists – but only up to a clear deadline.

What the grace period means in practice

The extension to September allows time to:

  • adjust booking and any company approval processes
  • ensure systems capture refund requests correctly
  • support travellers and bookers through the change

There is also an important clarification:

  • Refund requests must still be submitted before 23:59 the day before travel
  • Once submitted, they can be processed up to 28 days later

What this means day-to-day

If plans change late

Same-day cancellations will usually mean the ticket cost is lost.

If travel is booked in advance

Flexible tickets are no longer risk-free. Bookings need more certainty or closer review.

For bookers managing multiple travellers

There is now greater emphasis on:

  • tracking upcoming travel
  • checking plans are still going ahead
  • acting before the refund deadline

What to do differently

To stay ahead of the changes:

  • Review travel the day before departure
  • Cancel early if plans are uncertain
  • Keep bookers informed as soon as plans change
  • Be more considered when booking flexible fares in advance

The rules have changed and the extended grace period, secured for HTS customers through the BTA, provides valuable time to adjust. But the message is clear – cancelling as soon as your plans change is crucial.
