The client, a leading foodservice industry maintenance and equipment supplier, faced the challenge of transitioning from an in-house to outsourced travel management system.
Solution
HTS partnered with the client’s team to create and implement a Transition Plan that prioritised the needs of travelling employees. We began by focusing on the internal operations team, which booked hotels for the engineers, ensuring a seamless handover of knowledge and responsibilities.
Through data analysis using our bespoke booking technology, HTS identified optimal hotel locations for the engineers and negotiated a Preferred Hotel Programme across the UK, securing reduced rates. This plan allowed for more efficient travel management and cost savings.
Results
The transition to outsourced travel management resulted in several key benefits. Personnel were successfully re-deployed, allowing them to focus on other business operations, which significantly increased overall efficiency. The company’s productivity saw a substantial boost, enabling the expansion from 78 to 109 teams, while also improving data capture for better ROI analysis on customer site visits.
Additionally, the outsourcing provided valuable insights for tenders and cost forecasting, aiding in the company’s development. Engineers expressed confidence in their travel arrangements, knowing they would stay in comfortable, well-located properties, and management observed increased productivity and efficiency. The transition was particularly crucial during the Covid-19 pandemic, as HTS ensured employees stayed in Covid-secure hotels, supporting the company’s duty of care and offering peace of mind.
