How our partnership approach helped a large UK organisation achieve significant cost savings and enhanced travel management over a decade.

Challenges

A large UK company faced escalating travel and accommodation costs and sought a bespoke service that catered to its employees while maximising value for money.

Inefficiencies in hotel and travel booking processes with their previous supplier further complicated cost management, necessitating a comprehensive hotel and travel solution.

Solution

In 2014, HTS was appointed to address these challenges. We partnered with the client’s team to capture booking data, analyse spend patterns, and recommend cost-saving measures. Our experts implemented a negotiated preferred hotel programme, policy changes, and robust budget management strategies.

We switched on our tech’s “reason for travel” feature to capture this data at the booking stage to improve cost transparency and inform policy updates across departments. And we collaborated closely with 700+ bookers and travellers, ensuring smooth adoption of new procedures and policies.

More recently, we introduced the client’s team to MISynergy, our newly launched online meetings and events management platform, to enhance visibility and cost control across the organisation’s events.

Results

Over the past decade, HTS has consistently delivered value by proactively managing the  account and making data-driven decisions, resulting in over £392,000 in savings during the first year through reduced spending and optimised booking practices.

As a trusted long-term partner, the organisation’s employees now rely on HTS as their go-to specialist for all travel and hotel needs. HTS has also enhanced services by facilitating the early adoption of its evolving in-house technology.

Looking ahead, the organisation is forecasted to save over £271,500 in 2024 alone, with more than 65% of hotel bookings regularly placed into negotiated preferred properties.
